Website Terms, Refund Policy and Privacy Notice
These policies govern the use of the LastOne Digital website, online payments, quotations, orders, goods, electronic equipment, repairs, labour, professional services and the processing of personal information.
Business and Supplier Information
This website is owned and operated by the following South African supplier:
In these policies, “LastOne”, “LastOne Digital”, “we”, “us” and “our” refer to LastOne Digital (Pty) Ltd. “Customer”, “consumer”, “you” and “your” refer to the person or organisation using the website, requesting a quotation, placing an order or purchasing goods or services.
Terms and Conditions of Sale and Service
1. Acceptance of these terms
By using this website, requesting or accepting a quotation, approving work, placing an order, paying an invoice or selecting a policy acceptance checkbox during checkout, you confirm that:
- You have read and accepted these Terms and Conditions.
- You have read and accepted the Refund, Return and Cancellation Policy.
- You have read the Privacy and POPIA Notice.
- You have the necessary legal capacity and authority to enter into the transaction.
- The information and instructions supplied by you are accurate, complete and lawful.
2. Goods and services
LastOne Digital may provide goods and services including:
- Computers, printers, networking equipment, accessories, peripherals and other electronic equipment.
- Computer repairs, upgrades, diagnostics, maintenance and technical support.
- Software installation, configuration, troubleshooting and licensing.
- Network, server, printer, email and internet-related services.
- Website development, website maintenance, hosting, domain and email services.
- Graphic design, printing, branding, promotional and digital services.
- Remote support, onsite support, consultation and business services.
- Training and related educational services.
- Any other goods or services described on the website, quotation, invoice, order confirmation or statement of work.
The specific scope, price, exclusions, delivery method, estimated completion date and specifications applicable to a transaction will be described in the relevant quotation, invoice, product page, order confirmation or written agreement.
3. Quotations and acceptance of orders
Quotations remain valid for the period stated on the quotation. Where no validity period is stated, a quotation will ordinarily remain valid for seven calendar days.
Prices, availability, supplier charges and delivery estimates may change before a quotation is accepted and any required payment is received.
An order or service instruction becomes binding when LastOne:
- Accepts the customer’s order or written instruction;
- Receives an agreed deposit or payment;
- Begins procuring goods or materials;
- Reserves chargeable appointment or production time; or
- Begins performing authorised work,
whichever occurs first.
LastOne may reject or cancel an order where:
- Goods or services are unavailable;
- Product, service or pricing information contains a material error;
- Payment cannot be verified;
- Fraud or unauthorised activity is suspected;
- The requested goods or services are unlawful;
- The requested work is technically unsuitable or unsafe; or
- LastOne cannot reasonably supply the goods or perform the services.
Where LastOne cancels an order before supplying goods or performing services, amounts paid for the cancelled portion will be refunded.
4. Prices, fees and third-party costs
All prices are stated in South African Rand unless another currency is expressly indicated.
Applicable taxes, delivery charges, call-out fees, licence charges, supplier fees and other material costs will be disclosed before final confirmation where reasonably practicable.
Third-party costs may include software licences, advertising spend, domains, hosting, courier charges, cloud services, subscriptions, manufacturer fees and specialist supplier charges.
An obvious pricing or typographical error will not bind LastOne where the customer knew, or reasonably should have known, that the price was incorrect.
5. Estimates, diagnostics and additional work
Where an estimate is required, LastOne will obtain customer authorisation before commencing chargeable work.
Any diagnostic, inspection, disassembly, assessment or quotation fee will be disclosed before it is incurred.
Where additional faults, requirements or costs are discovered, LastOne will request authorisation before materially exceeding an approved estimate.
Work may be authorised through:
- A signed quotation or order form;
- Email or WhatsApp;
- A website or customer portal;
- A verifiable telephone instruction;
- Payment of a quotation, deposit or invoice; or
- Another reasonably verifiable method.
6. Deposits and advance payments
LastOne may require a reasonable deposit before:
- Reserving labour or appointment time;
- Procuring equipment or materials;
- Commencing customised work;
- Registering a domain, subscription or licence;
- Commencing printing, design or website work; or
- Accepting a special order.
A deposit is not automatically forfeited when an order is cancelled. LastOne may deduct amounts that are lawful and reasonable, including:
- Work already completed;
- Non-refundable supplier expenses;
- Special-order goods already procured;
- Materials already used;
- Licences, registrations or domains already activated;
- Reasonable administration or cancellation charges; and
- Reasonable loss arising directly from the cancellation.
Any remaining refundable balance will be returned to the customer.
7. Payment terms
Payment may be accepted through PayFast, electronic funds transfer or another payment method approved by LastOne.
An order will not be regarded as paid until payment has been successfully confirmed and is not subject to reversal, fraud investigation or chargeback.
Ownership of goods remains with LastOne until full payment has been received. Risk will transfer in accordance with applicable consumer law and the agreed delivery arrangements.
Paying an existing quotation or invoice through PayFast does not by itself create a new supply agreement where the underlying agreement was concluded previously.
8. Immediate commencement of services
Where a customer purchases or authorises a service electronically, the customer may expressly request that LastOne begin providing the service before the expiry of any applicable electronic-transaction cooling-off period.
Where the customer gives this express consent and LastOne begins the service, the cooling-off right may no longer apply to that service. This does not remove the customer’s rights concerning defective, incomplete or substandard services.
9. Customer responsibilities
The customer must:
- Provide accurate and complete instructions;
- Disclose known faults, damage and previous repairs;
- Provide lawful access to equipment, websites, accounts, networks and systems;
- Supply necessary passwords and permissions securely;
- Use properly licensed software;
- Ensure that supplied wording, artwork, photographs and other content may lawfully be used;
- Create a separate and verified backup before equipment is submitted for repair, upgrade or modification;
- Follow applicable installation, operating, maintenance and electrical protection instructions;
- Inspect delivered goods within a reasonable period; and
- Notify LastOne promptly of alleged defects, damage or incorrect delivery.
The customer warrants that they own equipment submitted to LastOne or have lawful authority to authorise work on it.
10. Data and equipment submitted for service
Repairs, upgrades, malware removal, operating-system work, storage procedures and diagnostics may involve an inherent risk of data loss.
Customers must maintain a separate and verified backup before submitting equipment. Unless data backup or recovery is specifically included in writing, LastOne is not appointed to create or verify a backup.
LastOne does not guarantee that lost, corrupted, encrypted or damaged data can be recovered.
LastOne will exercise reasonable care when handling customer equipment and information. Nothing in this clause excludes liability that cannot lawfully be excluded, including liability arising from gross negligence or wilful misconduct.
11. Delivery and collection
Delivery or collection methods, charges and estimated timeframes will be displayed or stated on the relevant quotation, invoice, product page or order confirmation.
Unless LastOne expressly agrees otherwise in writing, delivery is available only within South Africa.
Estimated delivery and completion dates are not guaranteed where delay results from suppliers, couriers, stock shortages, load shedding, communication failure, severe weather, civil disturbance, government restrictions or other circumstances reasonably outside LastOne’s control.
LastOne will notify the customer of a material delay and provide an appropriate revised arrangement or remedy where required by law.
The customer must provide a correct delivery address and ensure that an authorised person is available to receive the order.
12. Inspection and fault assessment
LastOne may inspect, test or arrange an assessment of goods alleged to be defective.
An assessment may be performed by LastOne, a manufacturer, distributor, authorised service centre or suitably qualified independent technician.
An assessment may consider whether the failure arose from:
- An inherent defect;
- A manufacturing or component failure;
- Incorrect installation;
- Ordinary wear and tear;
- Power surge, lightning or unstable power;
- Liquid, moisture or corrosion;
- Impact, dropping or other physical damage;
- Misuse, abuse or neglect;
- Unauthorised repair or modification;
- Malware, unauthorised software or configuration changes;
- Incompatible third-party equipment; or
- Another external cause.
13. Service standards and labour
LastOne will perform services within a reasonable period and with the standard of quality and care that a customer is reasonably entitled to expect.
Properly authorised, completed and acceptable labour is not refundable merely because the customer:
- Changes their mind;
- No longer requires the service;
- Does not use the completed work;
- Finds a cheaper alternative elsewhere;
- Changes their business plans; or
- Experiences an unrelated fault after the service.
Where a service is materially defective, incomplete or substandard, LastOne will provide the remedy required by applicable law. This may include correcting or repeating the affected service or refunding a reasonable portion of the price where appropriate.
14. Electronic equipment and warranties
Electronic equipment supplied to consumers remains subject to applicable statutory and manufacturer warranties.
A valid defect claim cannot be excluded merely by describing electronic goods as non-refundable.
A warranty or refund claim may be declined where reasonable evidence establishes that the damage arose after supply because of:
- Power surge, lightning or unstable electricity;
- Failure to use suitable surge protection or an uninterruptible power supply where reasonably appropriate;
- Liquid, moisture or corrosion;
- Impact, dropping, crushing or other physical damage;
- Fire, theft, infestation or environmental contamination;
- Misuse, abuse or failure to follow operating instructions;
- Unauthorised opening, modification or repair;
- An incorrect charger, voltage or power supply;
- Malware, unauthorised software or customer configuration;
- Consumable depletion;
- Ordinary wear and tear; or
- Damage caused by incompatible equipment or accessories.
Manufacturer warranties are additional to, and do not replace, non-excludable statutory consumer rights.
15. Repair workmanship and installed parts
New or reconditioned parts installed during repair or maintenance work, together with the labour required to install them, carry the applicable statutory repair warranty or any longer written warranty expressly offered by LastOne.
The repair warranty does not cover:
- Ordinary wear and tear;
- Misuse, abuse or neglect;
- An unrelated fault;
- Power surge, lightning or external damage;
- Customer or third-party tampering; or
- Failure to follow operating instructions.
16. Website, design, printing and digital work
The relevant quotation or statement of work will determine the number of concepts, revisions, pages, features, formats and deliverables included.
Work outside the agreed scope may be quoted and charged separately.
Customer delays in providing content, products, passwords, approvals, photographs or feedback may extend the completion date.
The customer is responsible for checking proofs, wording, spelling, pricing, contact details, measurements and other supplied information before giving final approval.
Errors introduced by LastOne will be corrected within the agreed scope. Customer-requested changes after approval may be chargeable.
Third-party hosting, domains, software, stock media, plugins, advertising platforms and subscriptions remain subject to the relevant provider’s terms, availability and service conditions.
17. Intellectual property
LastOne retains ownership of working files, editable source files, templates, reusable code, processes, concepts and intellectual property until full payment has been received.
After full payment, the customer receives the rights specifically described in the quotation or written agreement.
Third-party fonts, photographs, software, stock media, plugins and licences remain subject to their respective licence conditions.
The customer warrants that material supplied to LastOne may lawfully be used and does not infringe the rights of another person.
18. Acceptable website use
You may not:
- Interfere with the website’s operation or security;
- Attempt unauthorised access to systems or accounts;
- Introduce malicious code;
- Use the website for unlawful or fraudulent activity;
- Copy or commercially exploit website content without written permission; or
- Submit false payment, identity or contact information.
LastOne may suspend website or account access where reasonably necessary to protect customers, systems or legal interests.
19. Limitation of liability
Nothing in these policies excludes liability for:
- Gross negligence or wilful misconduct;
- Fraud or fraudulent misrepresentation;
- Death or personal injury where liability cannot lawfully be excluded;
- A breach of mandatory statutory consumer rights; or
- Any liability that applicable law prohibits LastOne from excluding.
To the extent permitted by law, LastOne will not be liable for indirect or consequential losses that were not reasonably foreseeable when the agreement was concluded.
LastOne is not responsible for failures caused by third-party networks, hosting providers, manufacturers, couriers, software, payment providers, utility services or suppliers, except to the extent that LastOne remains legally responsible.
20. Governing law
These policies and all transactions concluded through LastOne are governed by the laws of the Republic of South Africa.
The parties submit to the jurisdiction of a competent South African court, subject to a consumer’s right to approach an applicable ombud, provincial consumer office, consumer tribunal, the National Consumer Commission or another competent authority.
21. Changes and severability
LastOne may update these policies where reasonably necessary because of legislative, regulatory, operational, technical or service changes.
The policy version applicable to a transaction will ordinarily be the version accepted when the transaction was concluded, unless a later amendment is required by law.
If any provision is invalid or unenforceable, it will be limited or severed only to the extent necessary. The remaining provisions will continue to apply.
Refund, Return and Cancellation Policy
1. Application of this policy
This policy applies to goods and services purchased from LastOne Digital.
It must be interpreted together with the Consumer Protection Act, the Electronic Communications and Transactions Act and other applicable South African law.
Where this policy conflicts with a mandatory consumer right, the mandatory legal right will apply.
2. Refunds for properly completed labour
This includes properly completed:
- Diagnostics and assessments;
- Call-outs and onsite attendance;
- Remote support;
- Repairs and installations;
- Setup and configuration;
- Website and graphic-design work;
- Consultation and technical assistance;
- Training;
- Data recovery attempts;
- Research, planning and administrative work; and
- Other professional or technical services.
A remedy may still apply where the service was materially incomplete, materially outside the agreed scope or not performed with the quality and care required by law.
LastOne will ordinarily be entitled to correct or repeat the affected portion of the service before a refund is considered. Where correction is not reasonable or is unsuccessful, a reasonable partial refund may be provided according to the extent of the failure.
3. Prepaid but unperformed services
Where a customer cancels before work begins, LastOne will refund the unearned portion, less lawful and reasonable costs such as:
- A reasonable cancellation charge;
- Reserved appointment or production time that cannot be reallocated;
- Diagnostics or assessments already performed;
- Administrative work already completed;
- Supplier or licence costs already incurred;
- Materials already purchased or used;
- Special-order commitments; or
- Other reasonable loss arising directly from the cancellation.
Where work has been partly completed, the amount attributable to completed work remains payable.
4. Electronic-transaction cooling-off rights
Subject to applicable legal exceptions, a consumer who concludes an qualifying electronic transaction may have a right to cancel:
- A transaction for goods within seven days after receiving the goods; or
- A transaction for services within seven days after concluding the agreement.
For a change-of-mind return made under an applicable electronic cooling-off right, the customer may be responsible for the direct cost of returning the goods.
Where the customer expressly requests LastOne to begin a service before the cooling-off period expires and LastOne begins the service with that consent, the cooling-off right may no longer apply to that service.
This does not remove rights concerning defective goods or substandard services.
5. Change-of-mind returns for goods
Outside a statutory cooling-off or return right, LastOne is not required to accept a return merely because:
- The customer no longer wants the item;
- The customer selected an incorrect item without relying on incorrect advice from LastOne;
- The item was found cheaper elsewhere;
- The customer’s requirements changed; or
- The item is incompatible because incorrect or incomplete information was supplied by the customer.
LastOne may voluntarily accept a change-of-mind return where the item is unused, complete, undamaged, in its original packaging and suitable for resale.
Where legally permitted, a reasonable amount may be deducted for use, damage, missing packaging, missing accessories or necessary restoration.
6. Defective electronic equipment
Electronic equipment supplied to consumers remains subject to the statutory quality standards and warranty remedies provided by South African consumer law.
Where goods fail to meet the applicable legal standards within the statutory warranty period, the customer may be entitled to a repair, replacement or refund, subject to the Consumer Protection Act and a reasonable fault assessment.
A valid statutory defect claim will not be excluded merely because the goods were described as non-refundable.
7. Surge, lightning and external damage
A refund or warranty claim may be declined where reasonable evidence establishes that the fault arose because of:
- Power surge, lightning or unstable electricity;
- An incorrect voltage, charger or power supply;
- Liquid, moisture or corrosion;
- Impact, dropping or physical damage;
- Misuse, abuse or neglect;
- Unauthorised opening, modification or repair;
- Malware or unauthorised software;
- Ordinary wear and tear;
- Incompatible accessories or equipment; or
- Another external event occurring after the goods left the control of LastOne or the supply chain.
Where inspection shows a non-warranty cause, LastOne may provide a separate repair quotation. A diagnostic fee may be charged where it was disclosed and authorised.
8. Special-order and customised goods
Special-order, personalised, printed, branded or customer-specific goods may not be cancelled or returned for change of mind after procurement or production has begun, to the extent permitted by law.
Examples include:
- Custom-built computers;
- Specially procured components;
- Personalised printing and branding;
- Customer-specific licences;
- Registered domains;
- Custom software;
- Bespoke website work;
- Approved graphic-design products; and
- Goods altered to customer specifications.
This restriction does not apply where the goods are defective, unsafe, materially different from the approved specification or otherwise returnable under mandatory law.
9. Software, licences and digital products
Downloaded, activated, registered or supplied software, licence keys, digital products and subscriptions may not be returnable where:
- The licence has been activated;
- Access has been supplied;
- The product has been downloaded;
- The supplier does not permit cancellation; or
- The product falls within a lawful cooling-off exception.
Incorrectly supplied or defective digital products remain subject to applicable legal and supplier remedies.
10. Cancellations and cancellation charges
Customers may cancel an advance booking or service order, but LastOne may impose a reasonable cancellation charge after considering:
- The nature of the service;
- The amount of notice given;
- Work already completed;
- Supplier commitments;
- Whether the appointment can reasonably be rebooked;
- Special-order items; and
- Actual loss reasonably arising from the cancellation.
No cancellation charge will be imposed where prohibited by applicable law.
11. Return procedure
Before returning equipment or goods, the customer must contact LastOne:
- Email: info@lastone.co.za
- Telephone or WhatsApp: 081 710 5286
Please provide:
- The invoice or order number;
- The product description and serial number;
- A clear description of the problem;
- The date the problem began;
- Photographs, video or diagnostic information where relevant; and
- The remedy requested.
LastOne may issue return instructions or arrange an assessment. Goods should not be sent before the return address and method have been confirmed.
12. Return costs
| Reason for return | Return cost position |
|---|---|
| Valid defect, incorrect delivery or supplier failure | LastOne will bear the return risk and cost to the extent required by law. |
| Qualifying electronic change-of-mind return | The customer may be responsible for the direct cost of returning the goods. |
| Voluntary return outside statutory rights | The customer will ordinarily be responsible for the return cost. |
| Customer-selected independent courier | The goods ordinarily remain the customer’s responsibility during transit unless applicable law provides otherwise. |
13. Condition of returned goods
Returned goods should include all items originally supplied, such as:
- Accessories;
- Power supplies and cables;
- Manuals;
- Packaging;
- Licence materials;
- Promotional items; and
- Other included components.
Missing components or damage unrelated to the claimed defect may affect the refundable amount where the law permits a deduction.
14. Refund method and processing
Approved PayFast refunds will ordinarily be processed through PayFast or returned to the original payment method where supported.
Certain payment methods may require verified banking details. Refund completion times depend on the payment method, PayFast processing, financial institutions and fraud-prevention procedures.
LastOne will never ask for a customer’s card PIN, online-banking password or one-time PIN in order to process a refund.
Refunds will ordinarily be paid to the original payer unless the original payment account is unavailable, the payment provider requires another method or applicable law requires otherwise.
15. Duplicate and incorrect payments
Verified duplicate payments and payments made in obvious error will be refunded, subject to payment-provider procedures, lawful deductions and appropriate identity verification.

These providers may process identifying, transactional, device, security and payment information required to authenticate and process the transaction, prevent fraud and administer refunds or disputes.

- The transaction date;
- A description of the goods or services;
- The order or invoice reference;

For services that will begin immediately, a separate consent may be requested:
5. Chargebacks and payment disputes
Customers should first contact LastOne to resolve an order, refund or payment concern.
Fraudulent, dishonest or abusive chargebacks may be disputed using quotations, invoices, communications, delivery records, acceptance records and proof that goods or services were supplied.
